Purpose of this position is to help support both the HR and Accounting departments in handling all administrative tasks. This position is in Ft. Myers, FL and is not remote.

Responsibilities to include:

  • Answering employee questions
  • Processing incoming mail
  • Distributing documents per direction to employees
  • Providing customer service to organization employees
  • Maintaining EE data on current EE Systems
  • Compiling EE data reports

Recruitment/New Hire Process

  • Reviewing new hire paperwork for accuracy
  • Tracking I-9 compliance
  • Preparing new employee files
  • Overseeing the completion of compensation and benefit documentation
  • Conducting benefit enrollment process
  • Serving as a point person for all new employee questions

Payroll and Benefits Administration

  • Supporting the answering of pay-related questions
  • Facilitating resolutions to any payroll errors
  • Participating in benefits tasks, such as claim resolutions, reconciling benefits statements, and  invoices for payment

Record Maintenance

  • Maintaining current HR files and databases
  • Maintaining I-9 completed documentation
  • Updating and maintaining employee benefits, employment status, and similar records
  • Completing termination paperwork and assisting with exit interviews

Qualities of Competent HR Assistants

To effectively perform the duties of a human resources assistant, individuals must be able to demonstrate a number of competencies that are essential to the position, which include:

  • Must be adept at problem-solving, including being able to identify issues and resolve problems in a timely manner
  • Must possess strong interpersonal skills
  • Must be able to communicate clearly, both written and orally, as to communicate with employees and members of the HR management team
  • Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skillfully gather and analyze information
  • Must be able to prioritize and plan work activities to use time efficiently
  • Must be organized, accurate, thorough, and able to monitor work for quality
  • Must be dependable, able to follow instructions, identify issues to bring to management for direction

Accounting Duties:

  • Duties will be both operational and accounting related including invoicing, Accounts Receivable, Accounts Payable, and General Ledger
  • Process the payment of bills, bank deposits, and maintain vendor files
  • Process monthly expense reports & account reconciliation
  • Responsible for coordinating any/all state & federal tax activities, including payroll
  • Drafts, tracks, and distributes financial reporting as needed by the department
  • Mail distribution, ordering supplies, overall office management
  • Must have the ability to handle confidential and sensitive information, be detail oriented and work in a fast-paced, collaborative environment
